Facility Use

Building Use Policy

Avenue Road Baptist Church, Cambridge, Ontario.
Revised:  April 3, 2012.

 

The building of Avenue Road Baptist Church is an excellent facility, dedicated to the work of this congregation.  Its location and utility make it ideal for the use of other groups as well.  Because of the number of requests for use of this building, we have put this policy in place, to answer any questions you may have, as well as to insure that any use will be a positive experience for the groups using the building and for the people of Avenue Road Baptist Church.

1.   Guidelines for the rental of the building, or portions of Avenue Road Baptist Church.

          Rental of any space within the Church building may be considered for activities of a non-profit nature, provided that, in the assessment of the Property & Finance Committee:

  1. The activity does not impede or conflict with the functioning of normal church programming or limit the building availability to church functions.

  2. The activity does not in any way produce a service or product which would be contrary to the values of a Christian congregation.  some overview of the approaches taken by the group may be requested.

  3. The use would not create a negative image within the community, either because of the character of service, or because of the appearance of the building or grounds.

  4. The activity is deemed by the church to have a purpose that is helpful and useful to individuals or families.

  5. The use of the building does not create additional costs to the church for such things as insurance, inspections, etc.  Indirect costs, such as utilities, are to be covered in the rental agreement.

  6. Any ongoing use is to be set up on a contract basis, to be renegotiated at least annually.  The contract will define any rental amount, damage deposit and additional fees, if any.  For all uses, the outside group must provide their own liability insurance.  It will also include specifications regarding cleaning and condition of the space used.  The staff designate will monitor the relationship with the organization and the observance of the terms of the contract.

   

 

2.   Regulations for use of the building of Avenue Road Baptist Church:

2.1   Avenue Road Baptist Church (ARBC) is a place dedicated to the worship and service of God.  Our building provides a functional place for us to carry out this ministry to our congregation and community.  Use of the building, by any  party, shall not misrepresent ARBC or its ministry.

2.2   The building should be left in the condition in which it was found.  Basic clean-up should be done by the party renting the facility.

2.3   Smoking, consumption of alcohol, gambling activities (including bingo, lottery, 50/50, etc.) or use of illegal substances are not allowed on the premises.

2.4   City fire, health and safety regulations must be adhered to at all times.

2.5   Off-limits areas, under all circumstances include:  Pastors' offices, furnace and electrical rooms, any areas not pre-arranged for use.

2.6   The baptistery is off-limits, except when the sanctuary is being rented for the purpose of a baptism.  Rental of the sanctuary does not automatically entitle to the use of the baptistery.

2.7   Thermostat temperatures are not to be adjusted.

2.8    Bulletin boards are for ARBC use only.  Any other use requires prior consent by the church office.

2.9    Musical instruments on site, not owned by the rental group, are not to be played or tampered with in any way.

2.10  The piano, electric keyboard, sound system, multimedia equipment, and sports equipment may be used only when prior arrangements have been made.

2.11  Tables, chairs and dividers may be rearranged for events, but must be returned to their original places after use.  Decorations, such as floral arrangements, may not be moved without prior approval.  Nothing may be attached to walls or ceilings.  Masking tape is not to be used on floors.

2.12  Telephone use is restricted to emergency and local calls only.

2.13  Use of any food, condiments, etc., stored in the kitchen is not permitted.  Use of the dishwasher and stove must be specifically requested and approved before using.  The kitchen is not to be used for actual cooking of meals, only service and warming of pre-prepared meals.  If there is a desire to use the kitchen for meal preparation, arrangements must be made in advance in consultation with the Hospitality Committee of the church.  An additional fee may apply.

2.14  Soiled footwear should be removed at the entrances.

2.15  Confetti and rice are not to be used inside or outside the building.

2.16  A damage deposit may be required at the discretion of the church representatives.

2.17  Damages should be reported to the custodian on duty, staff designate or the church office as soon as possible.

2.18  When the custodian is on-site during the rental, any keys required will be available through the custodian.  In other situations, loan keys will be arranged ahead of the rental date.  Pick-up and return of the keys are the responsibility of the renter.

2.19  Candles are not to be used without prior permission.

2.20  Permission to use any copyrighted material is the responsibility of the rental group.

2.21  Each rental group should have an evacuation plan in case of fire or other emergency.  If you have questions, or wish assistance  with such a plan, please contact your ARBC liaison.
 


Fee Schedule for ARBC Building Use - Partnership Groups and Outside Groups

 

There is no charge for ARBC functions; this includes uses by the Guelph Association, CBOQ, BWOQ, and CBM.  Such groups may wish to make a donation, but we would not require a specific amount.  Long term leasing arrangements may be made upon request.

* Youth/Children Subject to Board approval, fee may be waived based on number of people, frequency of use, equipment used, etc.

Administration Fee For groups who book ongoing uses of the building, either weekly or recurring events, the administration fee enables us to provide a key and maintain our records of your use.

Kitchen the kitchen is not to be used for actual cooking of meals, only service and warming of pre-prepared meals.  If there is a desire to use the kitchen for meal preparation, arrangements must be made in advance in consultation with the Hospitality Committee of the church.  An additional fee may apply.

Custodian Custodian is responsible for basic clean-up after the event, and ensuring lock-up.

Wedding/Funeral Honourariums Pastor - $200,  Organist - $100,  Soloist - $50,  Sound/Multimedia - $75

Insurance Certificate of insurance is required for all groups/individuals booking church facilities.  Events will not be confirmed until proof of insurance has been received.  If proof of insurance has not been received 7 days prior to event, the event will be subject to cancellation and forfeiture of deposit.  Special Events Liability Insurance information and registration can be obtained from PAL Insurance Brokers at: (800) 265-8098, or conveniently registering online.
